What we collect
- Contact data: your email address (also the delivery address for finished files) and any details you include when you request a quote. If you hold an account with us, we store a salted hash of your password — never the password itself.
- Documents: the PDF files you send us, the remediated versions we produce, and technical diagnostic data extracted during processing (form-field structure and validation results — not a use of your document's substantive content).
- Payment records: payments are processed by Stripe. We receive and store the transaction identifiers, amount, and confirmation status. Your card details never touch our systems; Stripe's own privacy policy governs the data you provide at checkout.
- Delivery and audit records: when and to which address a file was delivered, validation results for the delivered file, and timestamped records of deletions.
How documents are stored and handled
Uploaded and remediated files are stored in private, encrypted storage, accessible only through short-lived, server-signed links. During processing, temporary working copies exist only for the duration of the processing step and are deleted immediately afterward. As part of our delivery quality gate, the remediated file (never your original) is briefly uploaded to a private staging site we control to confirm it passes a live accessibility check, then deleted from that staging site.
Retention and deletion
- Declined quotes: if you decline a quote, your file and all diagnostic data extracted from it are permanently deleted, and a timestamped record of the deletion (containing no file content) is kept for audit purposes.
- Completed jobs: originals, remediated files, and their validation records are retained so we can re-send deliveries, support you, and stand behind our work. You may request deletion of your files at any time by emailing us; we will retain only the minimal transactional and audit records required for accounting and legal purposes.
- Accounts: you may request account deletion at any time.
Service improvement
Our remediation process improves as we encounter new document defect patterns. For paid jobs only, we may review your documents and their diagnostic results internally to refine our remediation tooling and quality checks. This work is done by our own team, is not shared with or sold to anyone, and is never used for marketing. Documents from declined quotes are deleted and are never used for any purpose. To opt your documents out of service-improvement review entirely, email info@clearaccessdocuments.com from your account address — opting out does not affect your service.
Who we share data with
Only the processors required to operate the service: our cloud storage provider (encrypted file storage), Stripe (payments), and our transactional email provider (delivery of your finished files). We do not sell personal data, we do not share it with advertisers, and we do not use third-party analytics on client documents. We will disclose data if legally compelled to, and will notify you unless prohibited from doing so.
Security
Access to documents is limited to signed-link access and to the small set of staff who operate remediation and quality review. Payment confirmation is accepted only via cryptographically verified notifications from Stripe. If we ever experience a breach affecting your data, we will notify you promptly at your contact email.

You may request a copy, correction, or deletion of your personal data at any time: info@clearaccessdocuments.com. This service is intended for business and government use and is not directed at children.
Effective July 20, 2026. If this policy changes materially, account holders are notified by email before the change takes effect.
